Writing an apology letter conveys a message to the other party that you realize the mistake and accept it sincerely. If the apology is sincere and true the problem is solved and also you continue to maintain the same relationship that you were having before committing the mistake.
Apology letter is also a letter to inform the other party that the same mistake will not be committed in future and will take care that the work goes smooth and this mistake is taken as a learning. While writing an apology letter one should focus on the steps taken to resolve the problem. Apologies should not be written with the blame game and should be written by taking personal responsibility. It should give an assurance to the opposite party that you are sincerely feeling bad about the entire mistake.
An apology letter should be with soft language, positive and empathizing with the other party. It should clearly acknowledge the mistake and inconveniences caused by the mistake and provide the best resolution possible for the mistake.
Generally, an apology letter should be written immediately after the mistake has been committed but in some cases like the personal apology letter you have to decide whether to write immediately or give some time for the other party to vent out the anger. Apology should sometimes be accompanied with the compensation or penalty following the mistake .It should convey the message that you are aware of the inconvenience caused due to the mistake.
