Criticism letter is sometimes necessary to inform the person who has committed some error or mistake about the mistake and improve the person with an appropriate solution to the problem. It should be taken as an opportunity to help the reader in his or her growth and should not be taken as an opportunity to disrespect or to bring disgrace to someone. It should be considered as a tool to find shortfalls in the person and find steps to correct them.
Before writing a criticism letter think what you would have done if you were in their place. Think how the letter would affect the reader or how he or she is going to feel about it or whether they would take it positively. It should be written in a diplomatic tone and a polite manner else there are chances that it might backfire.
Start the letter on a positive note and then write about the issue avoiding insulting statements.Explain clearly what action you would like the reader to take and how it will help him or her. It should be a kind of an advice letter stating what best should be done in a particular situation. If it is to any employee or junior it is advisable to give a time frame for him or her to rectify and improve the error.
Criticism letter should be such that it is learning to the reader and the focus should be more in the steps or solution to rectify the mistake and improve the person rather than negative feedbacks. Explain why it upset you and what changes can be made to strengthen the relationship in future.
