Discipline letters are a tool for the employers to explain the employee why their behavior is wrong and to remind them of the policies and rules to correct the behavior. The main aspect of the discipline letter is to change the employees’ behavior so that it is not taken as a chance to show anger or an employer’s frustrations.
The letter should clearly state the offence or behavior and the consequences of the behavior. The tone of the letter should be genuine to the point and professional. It should clearly give the details of any kind of review done for the behavior.
It is very important to communicate to the employee why the behavior is wrong depending on the company policy, job description and work rules. It should clearly mention what would the action be like if it would be a warning a dismissal. If the employee is not terminated then indicate what the employee must do in future to avoid such misbehaviors. The employer should be courteous and indicate that they wish to help the employee improve.
Be to the point and give a time frame for the employee to change the behavior. Always warn the employee that if the misconduct is repeated it would lead to termination. While closing the letter the tone should be courteous and show support to the employee stating that you would like him or her to improve and can also be used to refer the employee to the guidance or assistance program. The letter however at the same time should be firm.
