Disqualification letter is used to inform the reader politely that the proposal or the offer or any application submitted has been disqualified. The letter should start with thanking the reader for the time and effort for applying for the offer thatis being disqualified. Explain the reasons why the application has been disqualified and if there is any parameter or standard, which are not met by the reader.
Provide all the necessary facts and figures if required to let the reader know the exact reason of disqualification. Your reader deserves to know why his or her application or proposal has been disqualified, so specify that clearly but do not write long letters. Give enough details so that the reader gets an impression that you took the application seriously, but you have to disqualify the proposal for valid reasons.
Be as clear and to the point as possible and avoid any kind of negative statements or express your frustration or anger for the denial. Let the reader get an expression that you are disqualifying because of some genuine reason and not because of the fault from the readers end. Let the reader get the feeling that you are happy with the association with them and would like to continue with the relation in the future.
