Error letters are usually written in two conditions, first one when you have made an error and want to inform the other person that an error has been made and steps would be taken to rectify it and the second condition is when the other person has made an error and you are writing a letter to inform the reader what the error is and what you expect him to do to rectify it. In any case the tone of the letter should be courteous and in the second scenario keep in mind that the person who is reading might not be personally responsible for the error, so avoid using any abusive language and try to resolve the error.

Error letters should be brief and straightforward explaining the error committed and the steps taken to rectify it. The tone of the letter should always be respectful, as you have caused an inconvenience to the reader.

Error letter is also a letter to inform the other party that the same error will not be committed in future and you will take care that the work goes smooth and this error has been taken as learning. While writing an error letter one should focus on the steps taken to resolve the problem. Error letter should not be written with the blame game and should be written by taking personal responsibility. It should give an assurance to the opposite party that you are sincerely feeling bad about the error.
