General letters could be both business and personal. Letters should communicate your message clearly to the reader. It should be impressive, which convinces the reader to accept your message.
Before writing a letter gather all the information required and do research for the topic you are writing on and then write the letter. Think about the subject and who you are writing to and what is the purpose of writing. Do a thorough planning and then start writing.
Always understand why you are writing a letter and how the recipient will react to your letter. It’s always better to write the letter as though you are talking to the person. If it is some kind of error or mistake, be courteous and do not take out your frustration in the letter. The focus of any kind of letter should be to get the result of writing the letter. Like if it is complaint letters get the complaint resolved or if it is a cancellation make sure that whatever you want to cancel gets cancelled.
There are numerous kinds of letters and the letters we generally use are the apology letters, love letters, sales letters, friendship, etc. whatever be the topic of the letter the tone of the letter plays an important role .The tone should be courteous and respectful. Even if it is a complaint letter or claims letter convey your message in a respectful manner. Letters should never include abusive language. It should not convey your frustration and anger. So it is always advisable not to write letters when angry.
