Inquiry letter gives an opportunity to get answers for information that we otherwise don’t get from any source. It helps us to clear the misunderstanding and get clear information directly from the reader. Since it is a kind of request letter, which is a hindrance to the reader’s time and effort the letter should be written with gratitude and should be courteous in nature. It should not convey a message that you are demanding the information.
Inquiry letter should convey a message to the reader that you will be helped by the information provided by the reader, and you appreciate the time they take to answer to your query. Inquiry letter should clearly mention what exactly you are inquiring about and what you expect the reader to do for you. Give as many details as possible so that the reader can respond to you promptly. Provide all necessary documents required if necessary so that it speeds up the result.
It’s always better to write an inquiry letter to gather information of the query for which you are unable to get an answer from any other source. If it is a simple inquiry do not send a letter rather try to search from other sources as it would be a waste of time otherwise for you and the reader.
When you get a response to your inquiry it is good to send a thank you letter appreciating the information provided and how the information helped you. You can also offer to return the favor to the person in the future.
