Order Letter
An order letter is also known as the purchase order letter that is a letter with specifications of the purchase one wants to make. The objective of the order letter is to provide the reader with details of the merchandise for fulfilling the order.
Start the order letter by stating that you are placing an order.Always provide complete details to ensure that the reader fulfils the order properly. Include catalog and reference numbers whenever necessary and provide clearly the instruction about where and how to deliver the product. Clearly make arrangements to pay for an order by credit card money order or checks etc.While closing the letter appreciate the reader and provide the address or phone number for further clarifications or questions.
While complaining about a delay in the order give details of the product and date of the order. Ask for the reason for delay or else ask to refund the money if the order cannot be fulfilled. If you are changing an order specify why you want to change the order. Identify the original order by date and product name and give proper details. Adjust the payment and give apology and express appreciation of the change.
Decline an order tactfully and politely and give the reason why the order has been declined. This retains the goodwill of the reader.
In most cases a confirmation of order is not necessary, but if you have had problems from the company previously it is advisable to write a confirmation letter.
In any kind of order letter, it is advisable to thank the reader for his or her time and consideration and appreciate the reader for taking appropriate action.
