Reprimand Letter
Reprimand letters are often used in organization for ensuring improvement in performance or for any kind of misconduct. It is an important step in creating a record of performance and sometimes is used as a document for the employee’s dismissal. It should not be taken as an opportunity for punishing an individual, rather the tone should be supportive and offering the employee a chance to improve.
A reprimand letter should be clear and to the point and should include the steps that are needed for improvement. It should also provide deadline by when the employer is expecting the improvement or change. Extra care should be taken while writing the letter and it should be clear and firm but not taken out of proportion. Indicate clearly the consequences of not achieving the desired results.
Start the letter on a positive note and then write about the issue avoiding insulting statements. Explain clearly what action you would like the reader to take and how it will help him and the company in future. It should be a kind of an advice letter stating what best should be done to come out of the situation. Always indicate what the employee does well and can do better.
When writing a reprimand letter to an employee follow the policies and procedures of your company and have the employee sign the documents to show as a proof that the issue has been already discussed with the employee.
